What we hold about you, why, and for how long.

[FOR LEGAL REVIEW] This wording was drafted to match how the booking system behaves. It has not been reviewed by a lawyer. Two clauses in particular need confirming before launch: the governing law and jurisdiction below, and any disclosure your travel licence requires you to make. Replace this notice from Settings → Policies when the text has been approved. WHAT WE COLLECT, AND WHY We collect what we need to arrange and deliver what you have booked, and no more. - Your name, email address and telephone number, so we can confirm your booking and reach you on the day. - Your travel details: dates, hotel or pickup address, flight number where a transfer depends on it, and the number of travellers. - What you have booked and paid, and the reference on your bank transfer. - Requirements you choose to tell us — mobility needs, dietary requirements — so the service actually works for you. You do not have to tell us, and we only pass on what the operator needs to know. - Passport details, and a passport copy, only where you have asked us to handle a visa. - Ordinary technical information from your browser, described under Cookies. We do not buy personal information, and we do not sell yours. WHY WE ARE ALLOWED TO HOLD IT Because we need it to perform the contract you have made with us; because we have a legitimate interest in running the business, answering complaints and preventing fraud; and, where the law requires it, because we must keep financial records. Where we rely on your consent — marketing, or handling a passport for a visa — you can withdraw it at any time. WHO SEES IT - The operator, driver or guide delivering your service, who is told what they need and not the rest. - Our payment and email providers, who process it on our instructions only. - An authority, where the law requires it. Some of these are outside your country. Where information moves, we use providers who contract to protect it to the standard described here. PASSPORTS A passport copy uploaded for a visa is encrypted while stored, is visible only to the small number of staff whose role requires it, and **every access is logged**. We delete it thirty days after the service it was needed for. We do not keep it "in case". HOW LONG WE KEEP THINGS Booking and payment records are kept as long as we must for accounting and tax, and then removed. Enquiries that never became bookings are removed once they are plainly stale. Passport documents go after thirty days, as above. YOUR RIGHTS You can ask us for a copy of what we hold, ask us to correct it, ask us to delete it, or object to how we use it. Write to reservations@pure-arabia.com and we will respond within thirty days. Deletion has a limit worth knowing: we cannot delete a financial record we are required to keep, and we cannot delete the details of a service you are about to travel on without cancelling it. We will tell you plainly which parts we can remove and which we cannot, rather than quietly doing half of it. SECURITY Information is encrypted in transit and, where it is sensitive, at rest. Administrative access requires two-factor authentication. Access to passport documents is restricted by role and logged. We do not use passwords for customer accounts. Signing in sends a one-time code to your email address, so there is no password of yours for us to lose. CHANGES The version of this policy in force when you book is recorded against your booking.
